Based near Nairn in the Highlands, Bowhunter Archery is an outdoor experience business offering instructor-led group sessions focused on activities such as archery, axe throwing and bushcraft.

Bowhunter Archery provide customers with the option to book activity experiences online and offer online purchase of gift cards. Since 2024, Bowhunter Archery has used the Rezgo booking system.

The need for an online booking system

Bowhunter Archery’s small team weren’t able to respond to booking requests and enquiries in an efficient manner resulting in lost sales.

Elizabeth explains:

“Being a small, family-run business, time management is one of our greatest financial challenges. Since we operate over eight different outdoor, woodland-based activities, we aren’t always able to answer phone calls or respond promptly to emails, messages, or even texts. On top of that, our remote location means mobile phone signals are unreliable, making it difficult to handle bookings or reply to enquiries efficiently. As a result, we were missing out on potential visitors, unable to fill last-minute spots simply because we couldn’t receive those calls.

“To address this, we realised we needed a system that would allow guests, comfortable with online booking, to check real-time availability and reserve their preferred slots at their own convenience – ensuring they can choose what best suits for their memorable experiences in Scotland.”

Different online booking systems can offer different functionality, customer support and cost structures. When Bowhunter Archery looked at choosing a system they came up with a list of priority requirements for their needs.

They prioritised:

  • flexibility to accommodate multiple activities for a specific number of participants
  • retaining control over activity management
  • clear tutorials and human support
  • minimising revenue loss due to fees

“Our financial analysis included consideration of card processing charges, booking fees, and platform fees. Securing a fixed percentage arrangement for the first three years provided a valuable opportunity to assess the platform's suitability, support business growth, and plan strategically for the future.

“Although the booking system lacked some integration features, we opted for gradual implementation to match our adoption preferences. Additionally, this approach allows for potential future growth in integration capabilities as the booking platform evolves.”

Introducing a new online booking system can potentially cause some initial challenges as the system beds in and a business and their staff get familiar with new functions. For Bowhunter Archery however, this was a relatively positive experience. “The onboarding experience with our booking platform was handled smoothly, complete with tutorials and ongoing support – which was especially helpful since I’m not very confident with technology. Although there were a few stressful situations of my own making, the support team always guided me through patiently and quickly resolved any mistakes I made.

Ongoing support

Bowhunter Archery have multiple different activities that can be booked, and with staff numbers limiting scheduling, this added a level of complexity to using their system. Many of the team weren’t naturally comfortable with using technology, however the online booking system supplier has been able to provide ongoing support through:

  • on-demand assistance
  • tailored training sessions through Microsoft Teams

    “We’ve experienced significant time savings. This has translated into cost efficiency because the staff member who used to manage bookings can now spend more time in the woods leading activities. Bookings are submitted, assigned to instructors, and all logistics – including mandatory waivers – are organised before the visitors even arrive.”

    “Our booking platform’s Daily Manifest gives us an instant overview of the day's reservations, and we can easily manage last-minute bookings by setting appropriate cut-off times if needed. We can also adjust the number of available booking slots throughout the day based on staffing levels, weather conditions, and other scheduled activities, eg a corporate group requiring exclusive use or bespoke sessions.”

  • Better customer booking experience

    “We've noticed an increase in last-minute bookings, but we've also made it easier for guests who plan by allowing them to book well in advance. They can confidently organise their itineraries, knowing we provide a full refund up to 48 hours prior to their session and permit changes to the date or time within 48 hours of their booking.”

  • Increased focus on growth

    “The booking system allows us to concentrate on business growth and quality by managing notifications, payments, gift vouchers, feedback, and comprehensive reports – including data on visitor origins. This facility has really helped us track and anticipate trends within worldwide tourism, helping us to connect more with the travel trade. We also use the reports to establish what activities are the most popular, patterns in days and times, along with all the usual financial reporting.”

  • Reduced admin

    “We’ve seen a significant reduction in administrative workload: notifications are issued automatically, payments are processed securely within the booking platform, waivers are digitally signed and stored, and feedback as well as reviews are collected three days post-booking. Additionally, refunds are handled with ease, and rescheduling bookings or postponements can be completed swiftly.

    “This automation has enabled us to dedicate more time to our bespoke sessions that require a personalised service.”

Bowhunter Archery gave this advice to other activity businesses looking for a booking system.

“Have a clear strategy and think about it from the customer’s perspective too. We knew our customers required ease of use, real-time availability, and automatic information – and we did too. We also required extras like:

  • waiver forms
  • resource-based availability
  • staff to sign in and manage their own bookings

When you have an idea of what you require as a business, have discussions, view demos, test out the system and don’t be afraid to ask questions.”
